Most customers forget when they last had their AC serviced. Even if you provide a great experience, by the time 2–5 years have passed, they won’t remember your business name unless you stay visible.

What You Need Before Setting Automations
- A MailerLite account (its free for up to 500 subscribers!)
- A list of past customers
- Each customer must have a “Last AC Service Date” custom field in MailerLite (this is covered in more detail below)
- A basic reminder email template – I have created one for you, just scroll to the bottom to see it.
Step-by-Step: Creating a Multi-Year Reminder Automation in MailerLite
This workflow assumes you want one automation that sends reminders at the 2, 3, 4, and 5-year marks after their most recent service.
Step 1 — Create a custom field for the service date
- Go to Subscribers
- Click Fields
- Add a new field called:
service_dateorlast_service_date- Field type: Date
This is the key that triggers everything.
Step 2 — Import or update customer records
- Upload your customer list (Subscribers->Add Subscriber)
- Map their service date to the new field
- Ensure your CSV date format matches MailerLite (YYYY-MM-DD recommended)
Step 3 — Create a new Automation
- Go to Automation in the left menu
- Click Create workflow
- Name it:
“AC Service Long-Term Reminder Automation”
Step 4 — Choose the trigger
- Select Trigger: When date occurs
- Choose your field:
service_date - Set to annual recurrence?
→ NO — because you want specific year intervals, not yearly. - Choose specific date
→ But leave it as “when date occurs” for now; we will add delays next.
MailerLite fires the workflow the moment the date matches.
So if someone serviced today, the workflow starts today.
Step 5 — Add the 2-year reminder
Inside your new workflow:
- Click + Add
- Choose Delay
- Set delay to: 730 days (2 years)
Then:
- Add Email
- Choose your email template
- Subject line example:
“Time for Your Next Car AC Check? It’s Been 2 Years 👀”
Step 6 — Add the 3-year reminder
- Add another Delay
- Set delay: 365 days (total now 3 years)
- Add Email
Subject example:
“3 Years Since Your Last AC Service – Keep It Running Cold ❄️”
Step 7 — Add the 4-year reminder
- Add Delay → 365 days
- Add an Email
Subject example:
“Your Car AC Might Be Due for a Check — 4 Years Already!”
Step 8 — Add the 5-year reminder
- Add Delay → 365 days
- Add Email
Subject example:
“5 Years Since Your AC Service – Book Your Regas Before Summer!”
Step 9 — Turn on the automation
- Review the workflow
- Switch the automation from Draft to Active
That’s it — you now have a multi-year revenue engine running in the background.
